| Executive Assistant (1 year contract) Job Purpose: The successful candidate will report directly to the Vice-President of Retail Systems and will be responsible for providing confidential administrative support in various areas including: generating reports, word processing, telephone support, data entry to the Vice-President of Retail Systems. Principal Responsibilities: •Provide confidential administrative support to the VP Retail Systems. •Arrange, prepare agendas and record minutes of staff and vendor meetings. •Compile information for the Pharmacy Executives’ use in discussions and meetings. •Organize and maintain the Pharmacy Executives’ daily appointment calendar. •Receive and screen telephone calls, mail and visitors for Executives. •Receive and process supply order telephone calls and handle concerns as they arise. •Responds to a wide variety of inquiries/concerns from customers and vendors. •Conduct telephone survey’s with customers and generate reports with the results of the survey. •Liaises with other departments to research issues and effect resolution. •Compiles data, types and formats reports and related documentation for special projects. •Arranges corporate travel and lodging as required. •Create presentations utilizing desktop/graphic skills. •Sets up financial and spreadsheet analyses, and enters data as directed. •Ensures invoices/expense reports are properly approved and coded to GL accounts; maintain record of submissions to Finance and forward for payment. •Maintain ICE Telephone System. •Generate and analyze monthly/holiday Call Statistic reports for the ProPharm call centers. •Produce various reports, utilizing Microsoft Excel. •Perform other duties as assigned to support KATZ Group Canada Ltd. Knowledge, skills and experience: •Post Secondary Education in a relevant discipline; Administration preferred. •2-3 years of working experience in an administrative assistant or coordinator role. •Previous experience with generating reports, preferred •Excellent written and oral communication skills, required •Strong interpersonal skills and ability to build relationships within various business units •Advanced Microsoft Office experiences: Excel, Word & PowerPoint •Strong organization and time management skills with the ability to work in a fast pace environment. •High attention to detail, self motivated and strong team player.
