JOB DESCRIPTION

Title: Legal Assistant / Project Coordinator

Experience: Minimum 2 years within Public Private Partnerships

Education: Post-secondary diploma, At least 2 to 3 years of relevant experience in a Legal or similar.

Salary: $50,000 - $60,000

Our client, an Asset Management firm is currently hiring for a Legal Administrator/Bid Co-ordinator to provide administrative support for the Infrastructure team. The ideal candidate will have excellent documentation skills as well as excellent project co-ordination/administrative skills. If you are enthusiastic with keen eye for detail and experienced in providing a high level of support then we would like to speak with you!

Responsibilities:
• Draft, edit, format, review, proofread, and/or summarize various legal documents, bid documents, reports, memos, and presentations
• Prepare general correspondence
• Prepare meeting minutes
• Bid coordination/management:
o Coordinate and manage the bid process by working closely with the investment team
o Monitor and track project progress; develop timetables for bid process and key milestones
o Communicate with various partners to ensure task/project deadlines are met
o Schedule and coordinate meetings
o Coordinate with various parties to prepare and update bid documents
o Coordinate and assist in the development, structuring and formatting of proposals and suggest amendments, as necessary
o Review information submitted by partners for bid submission
o Co-ordinate printing, binding and delivery of proposals and other deliverables
o Ensure completeness and quality of bid submission
• Provide ad hoc administrative support to the infrastructure group, as required

Qualifications:
• Experience working in asset management or infrastructure teams is an asset
• Must have understanding of construction industry and construction terminology
• Minimum 2 years experience in drafting, negotiating and/or managing basic contracts and other corporate documents
• Minimum 2 years experience in project management/co-ordination experience

Skills & Knowledge:
• Proficient in Microsoft Office (Word, Excel, Powerpoint)
• Excellent administrative and organizational skills
• Excellent multi-tasking and time management skills
• Excellent written and communication skills
• High level of professionalism
• Ability to work independently and under pressure
• Team player
