Sales And Marketing Coordinator

Job Purpose
Co-ordination of all sales & marketing initiatives to ensure efficiency and maximum impact.

Duties and Responsibilities

Sales Analysis 10%

• Ensure monthly sales reports for each channel are prepared within 5 business days of month end, as well as preparing any special reports needed an ad hoc basis
• Ensure that monthly sales reports and commissions reports for brokers and sales reps are sent out by the 15th of the month
• Calculate and analyze SKU and POS reports to track performance and sales trends of products

Sales Administration 35%
• Responsible for administering ECCnet, updating product fact sheet
• Assist in completing administrative work as needed
• Special projects and duties as assigned
• Respond to any customer issues / inquiries, update reps/brokers as necessary
• Maintain a database of customers for each retail segment in order to target specific mailings and promotions for each channel
• Assist in the preparation of mailings to sales reps and retailers
• Assist the in the preparation of presentations to major accounts
• Update order forms / price lists and maintain proper stock levels
• Participation for tradeshows, seminars and events as needed
• Govern sending samples, car stock, order forms to reps / brokers
• Assist in administrative duties regularly assigned during peak times
• Regular planogram verification visits as and where required

Marketing Functions 30%
• Maintain and update the Marketing calendar for all trade show, promotional and launch activity associated with all brands.
• Prepare the new product launch template and ensure that all company launches follow a set procedure in order to achieve maximum success potential; this requires, organizing, communicating and executing various aspects of the launch.
• Ensure sales reps are up to date all product launches and changes to packaging or products.
• Liaise with director on (including design briefs and approvals) all promotional materials, sell sheets and catalogues required.
• Help create mailings to retailers on a Quarterly schedule.
• A member of the team that will prepare initial design and layout for all trade show booths.
• Helps create and prepare all marketing materials for trade shows.
• Responsible for all the updates and specials on the website. These changes are relayed to the webmaster for implementation.

Packaging Development 10%
• Maintain and update the packaging specifications to ensure that packaging is always ordered with the correct artwork; including updating the comprehensive packaging binders for each brand.
• Prepare design briefs for all brands for new packaging, new product concepts and packaging revisions for both inside and outside designers and artwork suppliers
• Circulate art work for approval on all packaging.
• Liaise on preparation of copy and then proof read and approve all packaging produced abroad for all company brands.
• Coordinate with Purchasing to ensure that packaging costs are within specifications set out for each item.

Trade Show Support 5%
• Responsible for total coordination of all trade shows
• Maintain schedule of all trade shows and prepares checklist to ensure that all materials and samples are sent out efficiently
• Send out show contracts, ensures payments are made and ensures all materials needed are ordered and shipped on time
• Review budget for shows quarterly with Sales Managers to ensure that expenses are in line with plan
• Participate in trade shows as needed
General Office Duties 10%
• Customer Care as required i.e. Customer complaints, back order calling and order entry
• Assist Sales and Marketing Director with running errands outside of the office from time to time
• Co-ordinate mail and all courier service requirements


Cross Training
As Needed
• Back up for Reception duties
• Back up for Customer Care


Knowledge & Skills Required
• Post Secondary School diploma or degree
• Experience 3 years in general office procedures as well as some industry experience relating to the retail trade either with a sales agency, a broker, distributor, ad agency etc.
• Valid Ontario driver’s license
• Excellent problem solving skills
• Excellent proven writing and communication skills
• Strong PC skills with emphasis on Word, Excel and Power Point.
• Basic Graphics software knowledge
• Excellent organizational skills.
• Proven team player and proactive personality.
