| Payroll & Benefits Administrator (Victoria Park & Eglinton) Reports to: Payroll Manager Job Type: Contract, Full-Time Duration: 6 months Salary/Rate: $34,000 - 40,000/yr Job Summary: The payroll and benefit administrator is responsible for all aspects of preparation and processing of weekly payrolls. Responsible for completion of all related payroll administration activities including, but not limited to, employee set-up and termination, preparation of Records of Employment, generation and timely submission of monthly Union Health and Welfare reports and remittances. Responds to management requests and queries regarding payroll and benefit information and generates appropriate reports, where required. Maintains payroll records, distributes payroll cheques, direct deposit pay statements, files timecards and other general employee information. Key Responsibilities • Prepares and inputs payroll information in an accurate and timely fashion. • Responsible for setup of employee files and ensures documentation for new employees is in place (e.g. Personnel Employment Form, TD1, etc.). • Reviews and checks the accuracy of the time & pay and payroll registers to ensure that employees are paid correctly and charged to the correct jobs. • Calculates special adjustments, vacation payments, commissions, etc. as required. • Responds to employee queries regarding payroll matters and takes corrective action where required. • Ensures the timely filing of relevant documents in employee personnel and training files. • Maintains payroll files for all employees and tracks apprentice hours as required. • Ensures that employees are paid in accordance with their respective union collective agreement (if applicable). • Ensures that all deductions required by government agencies are processed accurately and remitted in a timely manner. • Responsible for terminating employees in the payroll system and subsequent preparation of Records of Employment. • Provides government agencies with information relating to current and ex-employees when required. • Maintains accurate records of sick days and vacation days for the motor shop employees in Toronto. • Responsible for performing employee enrolment, changes, and deletions in the group benefits system • Prepares moderately complex to complex Payroll and Human Resources reports as required. • Assists in facilitating changes to union collective agreements that impact the Company payrolls. • Prepares Union Health & Welfare reports and remittances sending them to the appropriate union or benefits trustee in a timely manner, as needed. • Acts to resolve any employee inquires regarding payroll and benefit issues. • Preparation and completion of all government forms such as Statistics Canada surveys, Records of Employment, T4s, T4A’s, T2200s and PIER Reports (when appropriate). • Assists in completion of various Human Resources projects as they arise. • Adhere to all company policies and procedures • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations • Adhere to the Company’s Quality System operating procedures • Perform other duties as assigned by Management Education and Experience • 3-5 years experience working with a full-cycled payroll, in a unionized environment. • Exposure to union collective agreements. • Strong knowledge of payroll practices and procedures. • Proficient computer skills (Word, Excel). • Proven ability to communicate effectively with a diverse group of internal and external individuals. • Exceptional data entry skills with a strong attention to detail. • Proven systematic and organized approach to multi-tasking. • Demonstrates ability to work independently to complete assigned tasks with minimum supervision. • Working knowledge of the English language both written and oral. • Demonstrated ability to meet deadlines and prioritize a heavy workload. • Professional, friendly, exceptional interpersonal skills.
